JOB SUMMARY:
Reporting directly to the Associate Vice President of Development, the Donor Database Manager supports and participates in the strategic implementation of Valleywise Health Foundation’s (VHF’s) advancement initiatives including fundraising, stewardship, communication, and special events. The Donor Database Manager will administer and oversee the daily operation of the constituent database for VHF, which tracks individual donors, employee giving, foundation donors, corporate donors, volunteers, and prospect information. As a member of the Foundation’s Advancement team, the Donor Database Manager will be responsible for ensuring the accuracy and integrity of the database, including data input and output, donor gift receipts and acknowledgements, year end tax statements, as well as Raisers Edge training and support for VHF staff. The Donor Database Manager will provide support to staff by assisting with the creation of reports, providing training, administering user accounts, developing, and implementing policies to guide data entry and making sure the database effectively captures constituent information and generates accurate financial and analytical reports. The Donor Database Manager is responsible for communicating on a regular basis to ensure the donor database is effectively operating with other internal operating systems. The Donor Database Manager plays a key role in advancing the Foundation’s mission to support Valleywise Health, the community’s public teaching health system and works closely with the AVP.

SCOPE:
• Oversee the quality, integrity and accuracy of all donor information and gifts that are entered into the Raiser’s Edge NXT database. Responsible for data entry for all constituent records. Ensure that the process, tracking, reporting, and acknowledgement of all gifts and engagement activities are performed in an accurate and timely fashion. Ensure that the data derived from these activities is maintained with accuracy, is current, and can easily be accessed.

• Maintains and improves VHF’s donor relations by ensuring accurate and timely management, recording, receipting, and acknowledgement of gifts and related data.

• Assist in the creation of processes associated with imports, gift distribution, entry, and acknowledgement.

• Generate customized queries, reports, and lists requested for all development activities. This includes lists, exports, revenue, renewal, pledge reports, performance analysis report, etc.

• Train and support database end-users. Provide ongoing training and technical support to staff for the constituent database. This includes developing written training materials and data policies.

• Ensure that all coding and table entries are consistent, well maintained and adhere to protocol.

• Audit database records for accurate coding, maintenance of constituent records and data integration.

• Proactively identify and implement database modifications to support accurate recording and reporting; participate in systems analysis of donor database and related software.

• Review current systems and lead efforts to improve workflow and overall support to fundraising efforts. Establish and maintain a structure within the database to effectively identify specific segments of data for various analysis and targeted fundraising and marketing needs.

• Respond to staff and constituent questions regarding data issues with RE or associated programs. Provide technical expertise, assess requests to prioritize; effectively communicate database opportunities and limitations. Develop and maintain custom constituent reports, based on organizational needs.

• Attend and assist with all Foundation fundraising and donor engagement events.

• Other duties as assigned.

PROFESSIONAL QUALIFICATIONS:
• Bachelor’s degree required.

• Self-starter with a minimum of three years’ progressively responsible work experience in database management – data entry experience with Raisers Edge NXT preferred.

• Ability to work independently and collaboratively with a growing team that prioritizes culture, mission, and professional development.

• Knowledge of principles and techniques of fundraising and desire to grow knowledge and experience in a health care setting.

• Ability to develop written correspondence and communicate with senior-level executives.

• Proficiency in managing donor and constituent databases. Proficiency in database administration, prospect and constituent management, data imports and exports and development of reports.

• Excellent interpersonal skills. Must be able to relate well to, and build positive, productive relationships.

• Detail oriented with strong organization skills.

• Strong time management skills with the ability to prioritize work, be proactive, take initiative, resolve problems, follow through, and simultaneously manage multiple projects to ensure goals are met in a timely manner.

• Advanced knowledge of Microsoft Word and Excel including the use of document merges and file exports.

• Ability to follow directions and ask questions.

• Ability to learn new database management procedures.

This position is a full-time position. Base pay and benefits will be determined by skills of candidate.
